This privacy policy explains how The Fieldwork Company uses the personal data we collect from you when you e.g. register to volunteer with The Fieldwork Company, when you use our websites, when you contact us through our contact form on our website, and engage with our social media pages. The policy discusses what data we collect, how we collect, use, and store data, what your data protection rights are, and how you can contact us and the appropriate authorities in case of any query.

What data do we collect?

The Fieldwork Company collects the following data:

Data you provide to us when volunteering:

  • Personal contact information (e.g. name, email address, phone number, age, place of residence, contact details of a family member in case of an emergency)
  • Fieldwork-related information (e.g. shoe size and height for fieldwork equipment, possession of personal snorkel equipment, past volunteer experience, driving licence)
  • Health-related information (e.g. dietary requirements, food allergies). If required for the type of fieldwork, we may ask for fieldwork-relevant medical conditions and general fitness. This information will be retained for legal reasons to protect us (including in the event of an insurance or legal claim) and for safeguarding purposes.

Information we collect when you visit our websites

  • When you visit our websites, our web server evaluates usage data for statistical purposes in order to improve the functioning and security of our website. This consists of the following:
    • the name and address of the content visited
    • the date and time of the visit
    • the amount of data transferred per visit
    • the description of the device and operating system used
  • For safety purposes, we store the complete IP address transmitted by your web browser for up to 31 days in the legitimate interest to detect, limit, and eliminate security risks to our websites. The legal basis for this processing is Article 6 (1) (f) of the GDPR. After the above-mentioned time period, your IP address and other collected data will be deleted or anonymised.
  • When you contact us via the contact form location on our website, we record the contact details you choose to provide, which may include your name, email address, and your phone number.
  • The Fieldwork Company does not use cookies on its website for analytical, tracking, or advertisement purposes.

Information collected via third parties

  • We may also receive information about individuals via third parties. To engage with our supporters, we use social media platforms such as LinkedIn and Instagram. Hence, we may collect information from social media if you have granted us permission to do so, or if you post on one of our social media pages.

  • Fill out an online form related to volunteering at The Fieldwork Company

The Fieldwork Company collects your data when you fill in forms related to volunteering for the purpose of:

  • Planning and conducting our fieldwork in a safe, effective, and efficient manner.
  • Communicating with individuals and groups who showed interest in volunteering with us.
  • Communicating with individuals and groups who have previously volunteered with us.
  • Maintaining our volunteer database and improving the ways in which we conduct fieldwork.

We may share your personal contact information (see “Data you provide to us when volunteering”) with other organisations with whom we work to enhance volunteer management. These organisations are limited to our project partners with whom we work to e.g. restore marine ecosystems.

Data collected through our websites is used to improve the functioning of our websites and to enhance its security. If you contact us through our contact form on our websites, we will use the contact details you provide in order to respond to your query.

How do we store your data?

We use various physical and technical measures to keep your personal data safe and to prevent unauthorised access, usage, or disclosure of your personal information. Electronic data and databases are stored on secure computer systems and we control who has access to information. All data is stored on servers in The Netherlands.

What are your data protection rights?

The Fieldwork Company would like to make sure you are fully aware of all of your data protection rights. Every individual is entitled to the following: 

  • The right to access: you have the right to request copies of your personal data that is held by The Fieldwork Company.
  • The right to rectification: you have the right to request that The Fieldwork Company corrects or completes any information you believe is inaccurate or incomplete.
